4 Steps to Be Audit Ready Tomorrow

Last month we talked about what to do when an audit is right around the corner. Now let’s shift from scrambling to sustaining. Imagine being ready for an audit tomorrow without the frantic, last-minute preparation. Believe it or not, that level of readiness is possible! Here are four concepts to help you stay audit ready year-round.

Culture determines whether quality is proactive or reactive.
Quality must be part of the organization’s foundation. By that, I mean it needs to be part of the culture, not an afterthought or once-a-year activity. This starts with leadership setting clear expectations and providing the resources and support the team needs to succeed. Leaders that encourage openness and transparency create an environment where issues are raised early, not hidden until audit week. Supportive leaders assign resources and remove barriers. Engaged leaders work with the organization to drive meaningful improvements. When quality is built into daily work, issues are addressed as they arise, eliminating the need for a last minute clean up before the auditor arrives.
- Improvement
Every issue corrected today is one less finding tomorrow.
Continuous improvement is a cornerstone of a quality management system. Continuous being the key word. This isn’t meant to be a once-a-year activity. Processes and performance should be assessed throughout the year. ISO9001 even provides several assessment tools: audits, management review, customer satisfaction, and performance evaluation. These activities are designed to highlight opportunities for improvement and drive corrective action. Correcting issues as they arise prevents them from growing into problems for auditors to uncover.

What gets reviewed gets controlled.
With a strong quality mindset and improvement process in place, the next step is consistency. A proactive control plan ensures your system stays on track. Develop a regular review rhythm by asking:
- What will you check?
- What are your targets?
- How often will you check them?
- What action will you take if targets aren’t met?
- Who owns the process?
Assigning a process owner creates clarity and stability. When performance doesn’t meet target, it becomes a trigger for corrective action, helping maintain control of the system before issues escalate.
- Verification
Internal audits should find problems because that’s how you improve.
Once the system is in place, how do you know it’s effective? Internal audits! Internal audits are much different from external audits. They are shorter, more focused audits that take place throughout the year. Think of them as practice sessions and a chance to identify issues before the auditor comes. A strong internal audit program looks beyond simple compliance to evaluate whether a process is working, whether it’s effective and where improvements can be made. It also gives employees audit experience in a low-pressure environment, making them more confident when interacting with an external auditor. A strong audit program keeps your people and processes audit ready all year long.
